Understanding Vendor Responsibilities

Venue Staff

Venue staff are responsible for everything related to the property itself. Their focus is on maintaining the space, ensuring safety, and providing what the venue has promised in the rental agreement. At least 2 venue staff will be present for several hours during your Event Day. Common duties include:

  • Unlocking and preparing the venue on the wedding day
     
  • Setting up venue-owned furniture (tables, chairs, tablecloths) per the agreed layout
     
  • Managing heating/cooling, lighting, restrooms, and parking areas
     
  • Ensuring cleanliness of the venue before, during, and after the event
     
  • Handling stock levels in restrooms and setting out trash receptacles


  • Being the point of contact for venue-related emergencies


  • For Day Rentals: Venue staff will be at the venue from 10:00 am until 30-60 mins into reception, and then will come back by 10:00 pm to lock up.


  • For Destination packages: Venue staff will be at the venue from 10:00 am until 30-60 mins into reception, and then will return to the barn again between 8:00-10:00 am the day after event, leaving the couple to use their door code to lock up the event barn post festivities since you will be lodging in the house on site.
     

Day-of Wedding Coordinator

A day-of coordinator acts as the couple’s representative, overseeing the flow of the event and ensuring all moving parts come together seamlessly. Their role is about execution and management of the wedding day timeline. Responsibilities include:

  • Creating and distributing a detailed wedding day timeline
     
  • Communicating with vendors to confirm arrival times, setup needs, and logistics
     
  • Directing ceremony processional/recessional and keeping the timeline on track
     
  • Managing setup of décor items (place cards, signage, favors) that are not handled by vendors
     
  • Troubleshooting unexpected issues quickly and discreetly
     
  • Serving as the couple’s go-to person so they can relax and enjoy the day
     

Vendors

Vendors provide the specific contracted services or products that bring the wedding vision to life. Each vendor is responsible for their own setup, execution, and breakdown. Examples include:

  • Caterer: Prepares, delivers, serves food and beverages; and possibly may help bussing tables depending on their contracted services.


  • Bartender: Prepares and serves alcoholic beverages to guests.
     
  • Florist: Designs and sets up floral arrangements, bouquets, ceremony décor
     
  • DJ/Band: Provides music, sound equipment, MC services
     
  • Photographer/Videographer: Captures the wedding through photos and video
     
  • Baker: Creates and delivers the wedding cake and/or desserts and arranges them onto a table or bartop etc
     
  • Rental companies: Deliver and pick up specialty items 


  • Hair and Makeup Artists: Apply makeup and style hair usually the morning the day of the wedding


Lessees (Wedding Couple and/or Family)

Your responsibilities will largely be about making sure you pack up your belongings at the end of your venue rental. Here are your to-do's:

  • Pack up and remove your personal items and any decor you brought in
  • Trash May be stowed in the wheelie bins
  • If you stayed overnight in the house, please run the dishwasher
  • Replace furniture to their original placement and if you moved anything from the house to the barn and vice versa, please return to proper location
